Configure a Custom Domain for Staffbase Email

Configure a custom domain for the Studio to ensure your platform aligns seamlessly with your organization’s branding. This guide walks you through adding a subdomain, verifying it via , and setting it as your primary domain.

  • You need to have Custom Domain feature activated for your platform. Contact Staffbase Support or your Customer Success Manager for more information.

You can only add subdomains as custom domains. Root domains are not supported. For example, if your root domain is showcase.com, your subdomain could be email.showcase.com.

  1. In the Studio, navigate to Settings > Domain Management.
  2. Click Add Domain.
    The Add Domain field appears.
  3. In the Add Domain field, enter the subdomain you want to use.
  4. Click Add.

Your custom domain is added. Its status appears as Pending until it is verified. Staffbase generates DNS record values, such as and , for domain verification.

You need to copy the DNS records that Staffbase generated. These records must be added to your domain provider.

  1. In the Studio, navigate to Settings > Domain Management > the domain for which you want to copy the CNAME and CAA.
  2. Click the three dots to open the more options menu.
  3. Click Copy CNAME.
  4. Save the copied CNAME safely.
  5. Optionally, click Copy CAA.

The CAA record is shown only if it exists and is detected during the DNS check for your custom domain. CAA records allow you to restrict which certificate authorities (CAs) can issue TLS certificates for your domain. Since Staffbase uses Let’s Encrypt as the CA, your CAA record must allow Let’s Encrypt in order for certificates to be issued successfully.

  1. Save the copied CAA safely. You have copied CNAME, both CNAME and CAA. Now you can add these records to the DNS section in your domain provider.

Once the DNS records are correctly configured, Staffbase automatically attempts to verify the custom domain. This process can take up to 24 hours. After the domain is verified, it means the DNS configuration is correct, and no further action is required from your side. Staffbase then proceeds to finalize the setup on its infrastructure. This typically takes less than five minutes. Once this process is complete, the domain status changes to Active, indicating that the domain is fully set up and ready for use.

You can only use the default domain or an active domain as your primary domain.

  1. In the Studio, navigate to Settings > Domain Management > the domain that you want to set as primary.
  2. Click the three dots to open the more options menu.
  3. Click Set as Primary.
    You have set the custom domain as the primary domain. From now on, this domain is used to access the Studio.
