Overview of Syncing Contacts via Entra ID

Staffbase offers automatic contacts and groups sync using Microsoft Entra ID. You need to set up the integration in the Studio by connecting your Entra ID instance to Staffbase Email. Once the integration is set up, Staffbase synchronizes your contacts every 24 hours to ensure that your data remains current.

The daily sync is automatically triggered based on the timestamp of the initial synchronization. You can adjust the time of the recurring sync by triggering a manual sync. When you do this, the system uses the timestamp of the manual sync as the new daily sync time. For example, if you manually sync at 10:00 p.m., the next automatic sync will occur at 10:00 p.m. the following day.

Using the Entra ID integration you can sync contacts (incl. attributes) and groups and not Studio users.

The integration uses Microsoft Graph application permissions through a Microsoft Entra ID app registration. As the synchronization runs automatically every 24 hours without a signed-in user, it needs to read user objects from your directory on its own. This is why application-level permissions are required.

  • User.Read.All: Allows the integration to read the user objects in your Entra ID tenant and make their available fields selectable for mapping to Staffbase profile fields. You stay in control of which fields are mapped and synchronized, and you can configure exclusion rules in the Staffbase Studio.
  • Group.Read.All: Allows the integration to read your Entra ID groups and their members so that you can sync groups into the Staffbase platform.
